4. For which purposes and on which legal bases?
We only process personal data when there is a valid legal basis for doing so.
Contact and preparation: Answering questions, scheduling appointments, assessing damage and preparing quotations or price estimates. Legal basis: Performance of a contract or steps taken prior to entering into a contract.
Diagnosis, repair and testing: Examining the device, ordering parts, carrying out repairs and checking functions afterwards. Legal basis: Performance of the contract.
Customer service and warranty: Providing updates on progress, answering questions, handling complaints and assessing warranty. Legal basis: Performance of the contract, legal obligation and legitimate interest.
Invoicing and administration: Preparing invoices, processing payments and complying with tax and administrative obligations. Legal basis: Performance of the contract and legal obligation.
Security and fraud prevention: Preventing misuse, securing systems and investigating disputes or irregularities. Legal basis: Legitimate interest and, where applicable, legal obligation.
Improving the website and services: Solving technical errors and analysing how the website and services are used. Legal basis: Legitimate interest or consent, depending on the cookies and technology used.
Measuring advertisements: Reporting to Google Ads and Meta that someone who came through an advertisement has made, confirmed or paid for an appointment. Legal basis: Consent.
Marketing and external publications: Newsletters, personalised marketing or publishing recognisable photos, videos and customer stories. Legal basis: Consent, unless another legal basis applies.
Purchase of devices: Checking your identity and the origin of the device and paying the purchase price. Legal basis: Performance of the contract, legitimate interest and, where applicable, legal obligation.
Where we process data on the basis of a legitimate interest, we weigh our business interest against your interests, rights and freedoms. In certain circumstances you can object to this processing.
5. How do we handle data on your device?
Telephones, tablets, laptops, computers, consoles and other devices may contain personal or commercially confidential data. We treat devices and the information on them carefully and in confidence.
Limited access
We try to carry out diagnoses and tests as far as possible without opening personal files. If access to functions, apps, settings or files is necessary to investigate the reported problem or to test the repair, we limit this access to what is reasonably necessary.
Access codes and passwords
If an access code is needed, we ask you to provide it voluntarily or to unlock the device yourself. An access code provided is used solely for the agreed diagnosis, repair and final check. We do not keep it longer than necessary and delete the code as soon as possible after completion.
No unnecessary copies
We do not copy personal files to our own systems unless this has been expressly agreed with you, for example for data transfer, data recovery or making a necessary temporary backup. Temporary copies are deleted after completion, unless a legal obligation or an ongoing dispute requires longer retention.
Backup and data preservation
We advise you to make a recent backup before offering a device and, where possible, to remove SIM cards and separate memory cards. Repair, software and diagnostic work may affect stored data. The applicable arrangements on data preservation and liability are also set out in our general terms and conditions.
Photos and videos
We may take photos or videos of a device for intake, diagnosis, recording damage, progress, quality control or warranty handling. We do not use images in which you or your personal data are recognisable for advertising or social media without separate consent.
Employees and engaged parties only receive access to the extent necessary for their work. They are expected to treat customer data confidentially.
6. How do we obtain your personal data?
We receive personal data from, among others:
you directly;
an online appointment or contact environment;
WhatsApp, email, telephone or social media;
a business client who names you as a contact person;
the device offered, solely to the extent necessary;
automatically when you use our website, for example through cookies, log files and analytics technologies.
If someone else offers a device on your behalf, we assume that this person is authorised to provide us with the necessary data and to discuss the assignment.
7. With whom do we share personal data?
We do not sell your personal data. We only share data when this is necessary for our services, business operations or legal obligations.
Depending on the situation, data may be shared with:
hosting, website, email and IT service providers;
suppliers of appointment and repair management systems;
bookkeepers, administrators and accountants;
banks and payment providers;
parts suppliers, to the extent identification is necessary;
carriers when a device or part is shipped;
WhatsApp/Meta when you contact us via WhatsApp;
website, analytics and advertising services, including services of Google, Meta and TikTok, to the extent these are actually used and the required consent has been obtained;
insurers, legal advisers, debt collection service providers or experts when this is necessary for a dispute or legal claim;
the police, supervisory authorities, the Dutch Tax Administration or other competent government authorities when we are legally required to provide data.
With parties that process personal data on our behalf, we make arrangements where legally required on security, confidentiality, retention periods and the use of the data.
If you reach our website through an advertisement and give consent for marketing, we report to Google or Meta that you have made, confirmed or paid for an appointment. To Google we send the click ID of the advertisement, the amount paid and the time. To Meta we send the click ID and browser ID of Meta, the type of event and the amount paid, your email address, telephone number and name in hashed form (made unreadable), and where available your IP address and browser details. Without that consent we send nothing to Google or Meta for this purpose. You can withdraw your consent at any time through the cookie settings.
8. Is data processed outside the EEA?
Some external service providers may process personal data outside the European Economic Area. This may happen, for example, when using international communication, analytics, advertising or social media services.
When personal data is processed outside the EEA, we ensure where necessary a valid transfer basis and appropriate safeguards, for example an adequacy decision or standard contractual clauses approved by the European Commission.
9. How long do we keep personal data?
We do not keep personal data longer than necessary for the purpose for which it was collected, unless a statutory retention obligation, warranty, dispute or legal claim requires longer retention.
Contact and quotation requests without an assignment: At most 12 months after the last substantive contact, unless longer retention is necessary because of a dispute or your request.
Repair and warranty data: We keep the data necessary for assessing and performing warranty for the duration of the applicable warranty. If a lifetime warranty applies to a repair, the necessary repair and warranty data may be kept for that warranty period. Data is deleted or anonymised as soon as it is no longer necessary for warranty, administration, complaint handling or a legal dispute.
Appointments and general communication: In principle at most 2 years after completion of the assignment. Communication necessary for warranty, a complaint, a payment dispute or legal proceedings may be kept longer for as long as reasonably necessary.
Invoices and tax records: At least 7 years, in accordance with the statutory tax retention obligation.
Access codes: Until the necessary diagnosis and final check have been completed. They are then deleted as soon as possible.
Document number on purchase: For as long as necessary to demonstrate the origin of the device, or for as long as the law requires.
Temporary copies for data transfer or data recovery: As briefly as possible and in principle deleted after completion and handover to the customer.
Photos and videos for diagnosis or recording damage: In principle at most 2 years after completion, unless they are needed for warranty, a complaint or a dispute.
Technical log and security data: In principle at most 12 months, unless a security incident or investigation requires longer retention.
Marketing data: Until you withdraw your consent or object. We may keep a minimal record to prevent you from being approached again.
Cookies: In accordance with the periods stated in our current cookie policy.
Lifetime warranty: for repairs for which EZelectronics provides a lifetime warranty, we keep only the data necessary to verify the repair, the part used and the entitlement to warranty. This does not mean that all correspondence, access codes, device contents or temporary files are kept indefinitely.
10. Cookies and website analytics
Our website uses cookies and similar technologies. Functional cookies may be necessary for the website to work properly. For statistics, marketing and media cookies we ask for consent where legally required.
Through the cookie banner you can set, refuse or later change your preferences. More information about the cookies used, suppliers, purposes and retention periods can be found in our cookie policy.
Our server retrieves the reviews on the homepage and the profile photos with them live from Google. Your browser does not connect to Google for this, and we do not store this data.
This website shows reviews from Google Maps. Use of Google Maps features and content is subject to the Google Maps End User Additional Terms of Service and the Google Privacy Policy.
11. How do we protect personal data?
We take appropriate technical and organisational measures to protect personal data against loss, unauthorised access, alteration, disclosure and other unlawful processing.
These measures may include, among others:
secure connections and up-to-date software;
limiting access to employees who need it;
use of strong passwords and access protection;
careful storage of devices and repair data;
backups and security updates where appropriate;
confidentiality arrangements with employees and suppliers;
procedures for security incidents and data breaches.
No security method offers an absolute guarantee. If a security incident occurs, we investigate it and inform the Dutch Data Protection Authority and/or the persons concerned when legally required.
12. Automated decision-making
EZelectronics does not take decisions based solely on automated processing that have legal effects for you or similarly significantly affect you.
We may, however, use automated systems for, for example, appointments, email confirmations, spam detection, website analytics and technical security.
13. What privacy rights do you have?
Depending on the situation, you can exercise the right to:
information and access: find out which personal data we process about you;
rectification: have incorrect or incomplete data corrected;
erasure: have personal data deleted when we no longer need it or no longer have a valid legal basis;
restriction: have the processing temporarily restricted;
objection: object to processing based on a legitimate interest or to direct marketing;
data portability: receive data or have it transferred when this right applies;
withdrawal of consent: withdraw consent previously given at any time.
Withdrawing consent does not affect the lawfulness of processing that took place before the withdrawal.
Submitting a request
You can send a request to info@ezelectronics.nl. Please state clearly which right your request concerns.
We may ask for additional information to establish your identity and to prevent data from being provided to the wrong person. Do not send an unsolicited full copy of your identity document or citizen service number.
We respond in principle within one month. For a complex request or a large number of requests, this period may be extended by law. We will then inform you within the first month.
Certain rights are not absolute. We cannot, for example, delete data that we are legally required to keep or that is necessary for a legal claim.
14. Questions or a privacy complaint
Do you have a question or complaint about the way we handle your personal data? Please contact us first. We try to handle your question or complaint carefully and as quickly as possible.
You also have the right to submit a complaint to the Dutch supervisory authority: Autoriteit Persoonsgegevens.
For complaints about a repair or our services, you can also consult our complaints procedure.
15. Business clients
In business repairs, a device may contain personal data of employees, customers or other persons. The business client remains responsible for lawfully providing the device and any access details.
If EZelectronics processes personal data in a business assignment solely on behalf of the client, additional arrangements or a data processing agreement may be necessary. This is assessed per assignment.
We advise business clients to encrypt devices in advance where possible, to make a backup and to make available only the data necessary for the repair.
16. Changes to this privacy statement
We may change this privacy statement when our services, business operations, systems used or legislation change. The most recent version is published on this page. The top of the page states when the statement was last updated.
In the event of important changes, we may also inform you separately where appropriate or legally required.
